Transaction Settings (Field Display Configuration)

Purpose:

Transaction Settings control which fields appear in the Process Transaction screen and whether they’re required, optional, or hidden.

Location:

Navigate to Control Panel > User Management > Transaction Settings (or may be under Control Panel > Transaction Settings depending on gateway version)

Why Configure This?

  • Streamline data entry (show only needed fields)
  • Prevent errors (require critical fields)
  • Improve workflow efficiency
  • Customize for different transaction types (card vs. check vs. terminal)
  • Customize for different user types

Configuration Levels:

Global Settings:

  • Apply to all users
  • Default configuration

User-Specific Settings:

  • Override global settings for specific users
  • Example:
    • Front desk users see simplified screen
    • Managers see all fields
    • Accountants require all fields filled

Transaction Type Settings:

Can configure separately for:

  • Card Transactions
  • Check/ACH Transactions
  • Terminal (EMV) Transactions

Each can have different required fields.

Field Display Options:

For each field in Process Transaction screen:

Display (Optional):

  • Field is visible
  • Not required
  • User can fill in or leave blank

Require:

  • Field is visible
  • Must be filled in to process transaction
  • System prevents processing if blank
  • Shows red asterisk (*)

Hide:

  • Field doesn’t appear at all
  • Cannot be filled in
  • Simplifies screen

Available Fields to Configure:

Customer Information:

  • Customer Name
  • Email Address
  • Phone Number
  • Company

Billing Address:

  • Street Address
  • City
  • State
  • ZIP Code
  • Country

Shipping Address:

  • (Same fields as billing)

Transaction Details:

  • Amount (typically cannot hide – always required)
  • Invoice Number
  • PO Number
  • Description
  • Order ID

Payment Information:

  • Card Number (cannot hide for card transactions)
  • Expiration Date (cannot hide for card transactions)
  • CVV (can make required or optional)
  • Billing ZIP (can make required or optional for AVS)

Additional Fields:

  • Tax (show/hide, can set default %)
  • Surcharge (show/hide, can set default %)
  • Tip (show/hide)
  • Clerk ID
  • Custom Fields (configured in Custom Fields section)

Configuring Defaults:

Default Tax Percentage:

  • Enter percentage (e.g., 7.5%)
  • Tax auto-calculates on every transaction
  • Can be overridden per transaction

Default Surcharge Percentage:

  • Enter percentage (e.g., 3.0%)
  • Surcharge auto-calculates on every transaction
  • Can be overridden per transaction

Send Receipt Default:

  • Check to auto-check “Send email receipt” box
  • Ensures customers always get receipts
  • Reduces forgotten receipts

Applying Changes:

  1. Configure fields for each transaction type
  2. Set required vs. optional vs. hidden
  3. Set defaults if applicable
  4. Click “Save”
  5. Changes apply immediately
  6. Users see new configuration on next page load

Example Configurations:

Simple Retail (Front Desk):

  • Show: Name, Card Number, Expiration, CVV, Amount
  • Require: Card Number, Expiration, Amount
  • Hide: Everything else
  • Result: Fast, simple checkout

Full Featured (Management):

  • Show: All fields
  • Require: Name, Email, Card Number, Expiration, CVV, Amount, Invoice Number
  • Result: Complete transaction records

B2B Corporate:

  • Show: Company, Name, Email, Card, PO Number, Invoice Number, Tax
  • Require: Company, Card, PO Number
  • Result: Captures B2B required data
