Designing Your Invoice Template

Configuration Location:

Navigate to Control Panel > Invoice Settings

Branding & Appearance:

Logo Upload:

  • Upload company logo (appears at top of invoice)
  • Recommended size: 300×100 pixels
  • Formats: JPG, PNG, GIF
  • Logo appears on both email and PDF versions

Color Scheme:

  • Set primary color for headers and buttons
  • Set accent colors
  • Match your company’s brand colors

Company Information:

  • Company Name (appears prominently)
  • Business Address
  • Phone Number
  • Email Address
  • Website URL
  • Tax ID / Business License Number (optional)

Terms & Conditions:

  • Text block that appears at the bottom of every invoice
  • Use for:
    • Payment terms (“Net 30”, “Due upon receipt”)
    • Late payment fees
    • Refund policies (“All sales final”, “30-day return policy”)
    • Service terms
    • Legal disclaimers
  • Supports up to 1000 characters (verify with your specific build)
  • Can include line breaks for readability

Payment Options Settings:

  • Allow Partial Payments:
    • If Enabled: Customer owes $500 but can pay $100 today, $200 tomorrow, etc.
    • If Disabled: Customer must pay $500 in full or nothing (all-or-nothing)
    • Most B2B merchants keep this enabled for flexibility
    • Useful for large invoices or payment plans
  • Payment Methods Accepted:
    • Credit/Debit Cards (Visa, MC, Amex, Discover)
    • ACH/Bank Transfer
    • Digital Wallets (Apple Pay, Google Pay) – if enabled

Invoice Numbering:

  • Auto-Incrementing Numbers: System automatically assigns next sequential number
    • Example: First invoice is #1001, next is #1002, etc.
  • Custom Starting Number:
    • Navigate to Invoice Settings
    • Find “Next Invoice #” or “Starting Invoice Number” field
    • Set it manually (e.g., start at #10050)
    • Useful when migrating from another system
    • Maintains consistency with existing accounting
  • Custom Prefix:
    • Add prefix to invoice numbers
    • Examples: “INV-1001”, “BRYTE-2024-001”
    • Helps organize invoices by year, department, or type
